PROPIS is committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) (Privacy Act) and the Australian Privacy Principles (APPs).

This Privacy Policy applies to personal information collected by us and explains how we collect, use, disclose and handle it as well as your rights to access and correct your personal information and make a complaint for any breach of the APPs.

 

PERSONAL INFORMATION WE COLLECT AND HOLD

  • The personal information we collect and hold generally include:
  • Your contact information such as full name (first and last), e-mail address, current postal address, delivery address (if different to postal address) and phone numbers;
  • other information specific to our services
  • Relevant payment or billing information, (including but not limited to bank account details, direct debit, credit card details, billing address, premium funding and installment information.
  • Membership of a professional or trade association.

  • To inform you about issues related to your Owners Corporations and properties;
  • To provide you with information about products or services offered by us;
  • To monitor or improve the quality and standard of service provided to you or to other consumers by us;
  • To provide offers that may be of interest to you;
  • To better understand your preferences.
  • The personal information that the Company may collect includes but is not limited to, the your name, e-mail address, addresses, telephone numbers, information about products or services which might suit you, preferences and criteria information.

We may share your personal information:

  • with PROPIS and employees;
  • where we are required to disclose personal information in response to law enforcement activity or other governmental request, or when otherwise required or permitted by law;
  • to enforce our contract or property rights, enforce the Website terms, or when otherwise necessary to protect itself; and/or
  • due to a sale or merger of one or more of our assets or any division or business line.

When you visit our Website, we may send one or more cookies- a small text file containing a string of alphanumeric characters to your computer that uniquely identifies its browser including the use of cookies which may remain after the browser is closed and used in subsequent visits to the Website. To remove cookies or to disable their use, see the help files in the web browser for further information. You acknowledge that removing or disabling cookies may prevent access to certain features of the Website.

We may also collect certain information through the use of pixel tags. Pixel tags are small graphic images placed on certain pages of the Website or in certain e-mails from us. When you access these pages or e-mails, pixel tags generate a generic notice of that visit. Pixel tags usually work in conjunction with cookies, registering when a particular computer visits a particular page. If the User turns off cookies, the pixel tag will simply detect an anonymous Website visit. Our server may also automatically record information that a web browser sends when you visit the Website such as server log details which may include products such as the your IP address, browser details, pages viewed and other products.

We provide you with a unique password to verify their identity before allowing access to some features of the Website. You are responsible for maintaining the secrecy of this password and therefore any information which can be viewed by entering this password on the Website. You are responsible for notifying us of any loss or unauthorised use of your password. Note that this password can be modified by you. The modified password is visible to the website administrator.

If personal information held by us is inaccurate or out of date you have the right to request it to be updated or corrected.

We may share your personal information in the following circumstances. These circumstances should not be considered comprehensive and exclusive and do not affect our rights to share your personal information in other ways to the extent permitted by law.

The Website is hosted in Australia, if you do not reside in Australia, then by using the Website you consent to the transfer of any personal information to Australia.

We reserve the right to change this Privacy Policy from time to time. The latest Privacy Policy will be available from our offices and from the Website. If a user has any queries about the privacy policy or requires further information on how we handle personal information, users are invited to contact our office during business hours via the contact details on our website.

 

COMPLAINTS

If you do have a compliant about privacy we ask that you contact our office to help us to assist you promptly.

  • In order to resolve a complaint, we:
  • Will liaise with you to identify and define the nature and cause of the complaint;
  • May request that you detail the nature of the complaint in writing;
  • Will keep you informed of the likely time within which we will respond to your complaint;
  • Will inform you of the reason for our decision in resolving such complaint; and
  • Keep a record of the complaint and any action taken in the Register of Complaints.

When we make our decision, we will also inform you of your right to take the matter to the Office of the Australian Information Commissioner (OAIC) if you are not satisfied. In addition, if you have not received a response from us of any kind to your complaint within 30 days, then you have the right to take the matter to the OAIC (contact details are provided below).
